Why “The Software Will Catch It” Is the Most Dangerous Assumption in Payroll
Every July, businesses brace for the usual new financial year admin — updated tax tables, super guarantee changes, minimum wage increases. But there’s a quieter risk that catches far more businesses out than most people realise, and it has nothing to do with deliberate wrongdoing.
It’s the assumption that payroll software is foolproof.
Most “wage theft” isn’t theft at all
The phrase “wage theft” conjures images of employers deliberately short-changing staff. In reality, a huge proportion of underpayment cases stem from something far less sinister: payroll regulations and modern awards are so complex that neither payroll officers nor payroll software can reliably keep up. Apprenticeship rates, Fair Work’s evolving interpretations of awards, special provisions for under-18 employees, mandatory pay rises on anniversary dates, one-off allowances that only apply if the employee meets a particular unique shift pattern — these are exactly the kind of nuanced, frequently-changing rules that fall through the cracks.
The Trap: “That’s what we’re paying for”
It’s an understandable assumption. You’ve invested in a payroll system, so surely it handles every scenario automatically? Unfortunately, no system updates itself instantly for every award variation or Fair Work ruling, and most won’t proactively flag when a rate needs reviewing. Once payroll staff start trusting the output without question, errors compound silently, often for months or years, before anyone notices.
A payroll health-check for the new Financial Year
As you move into the new financial year, now is the ideal time to pressure-test your payroll processes. A few things worth doing:
Treat your payroll software as a tool, not an oracle. It’s only as good as the rules it’s been given, and complex awards have more grey areas than any system can fully resolve.
Run spot-checks on a random sample of pay calculations each quarter, focusing on your highest-risk employees: those on variable hours, overtime, night and weekend shifts, or complex awards and EBAs.
Don’t be afraid to ask for help. Talk to industry peers, or call Fair Work directly when something is unclear. There’s no prize for guessing.
Push your software provider. If an award changes or a tricky scenario comes up, ask them directly what they’re doing about it. You’re entitled to know.
Document your judgement calls. When you hit a genuine grey area and have to make a judgement call, write down your reasoning at the time. If it’s ever questioned later, that record is your best defence.

Payroll compliance isn’t a “set and forget” function, no matter how good your system is. A proactive health-check now, at the start of the financial year, can save significant cost, stress and reputational risk down the track.
